Deep inside I’ve always held the belief that I was an organized person who liked to be neat, but never figured out the second part: “How to find things I had kept for a purpose.”

If it is true that ‘Time is the greatest equalizer of humankind’ then I was at a disadvantage.  I have spent more than my fair share of time looking for misplaced stuff I had filed earlier.

It was that inability to quickly locate items I needed- when I needed them- that caused some of the greatest frustrations in my personal life and workplace.   Since I knew that filing did not work for me - because filing meant losing it – I became an organized piler.  There’s no nifty furniture designed for pilers, and because I am easily bothered by messy work-spaces, piles contributed to the feeling of frustration. Piles were sometimes substituted with the infamous “Post-It” notes.  Both have caused untimely embarrassing moments and missed business opportunities.

It has taken me roughly a half a century to figure out there’s a solution for people like me.  Simply put: the solution is “iPEP”, not a filing system, but rather a “finding” system.

Several months ago, I began to research how I could become more productive, and in doing so I came across a book authored by Barbara Hemphill named “Taming the Paper Tiger at Work.”

After reading the book, which made so much sense, Barbara Hemphill’s theory lead me to the Productive Environment Institute, and finally to what I consider the greatest tool ever created for people who want to find anything they have stored, within seconds – literally!  This tool has revolutionized my professional and personal life and I refer to it as ‘the Google for my physical world’.  The truth is, I am now able to find  documents, books, music in my library, etc., and what is so great is that I can also correlate it with virtual files like PDF documents, digital photos, URL’s and more.

This iPEP system, a techie term which stands for ‘Productive Environment Platform’ is intuitive, logical and ready to use from anywhere, even from my smart phone.  This is one of those things that makes you want to say: “why didn’t someone think of this sooner?”, well, the truth for me is that it does not matter – I am glad someone did and I’m using it.

The bottom line: For the value it represents (priceless) the cost is ridiculously inexpensive. People like me cannot put a price to finding what I need because now I have more time to do things that matter, like going home on time to be with my kids.  I can sleep at night without even thinking about what it will take to find anything; I know finding what I need will be a no brainer.

A side benefit: I have found the true purpose of filing cabinets and I no longer fear them.  I actually like them better without my piles on top of them.  My assistant also likes our new system and it really doesn’t matter who files what, because each person can find what we need without a long explanation.

If you have a problem with the time it takes you finding “anything”, at home, at the office, at the shop, “anywhere” – give iPEP a try, it will save you so much time!

Then, with the advent of iPEP (interactive Productive Environment Platform), I was able to add even more functionality to my filing system. Besides finding the actual file folder in my cabinet that contained a particular document, I was actually able to upload the documents into my iPEP and have a link to them on the page. Now I can work at home and school seamlessly, preparing work for the next day's classes whether or not my filing cabinet is handy.

Every day seems to bring new functionality to my iPEP. I have experimented with making a page for every committee that I serve on, and I have found that uploading the many related files to my iPEP page saves me tons of paper! All I need is to bring my laptop to the committee meeting, and I have the necessary documents with me, organized as links and easy to access in seconds.

Recently I created a new workspace, separate from my school files, to coordinate holiday travel plans with my far-flung family. I was able to invite each family member to be a guest on that workspace so we could share ideas and travel schedules without a million emails flying back and forth. It is so easy to do, I wonder how I ever got along without it!
